To ensure that you and those around you experience the full benefits of the Spa service, we request that you arrive early. Arriving late will cheat you of precious minutes of your Spa treatment. Should you arrive late, your treatment will end on time so that the next client isn’t delayed, regardless of how late you start. Late arrivals will still be responsible for the full service. The first time at the spa, we suggest that you arrive 10-15 minutes early. This allows you time to complete the "getting to know you" form and to prepare for your treatment. Your treatment time includes your intake, and time for dressing and undressing for the appointment.
The Spa environment is one of tranquility and relaxation, so please respect the other guests’ right to privacy and quiet. NO CELL PHONES in the spa area.
For the safety of your family, as well as the comfort of other guests, we are unable to accommodate guests accompanied by young children. We do not want to have to turn people away, but we do not have on-site child care facilities. Our normal cancellation and no-show policy applies.
Flawless accepts MasterCard, Visa, American Express, Discover, checks, and cash. We also require a valid credit card number with expiration to hold all spa reservations, even if a client intends to pay with a gift certificate or coupon.
Flawless Gift Certificates are available for purchase in any amount on the website or at the spa. Your gift certificate will not be replaced if lost or stolen. There are no refunds on gift certificates, but they may be transferred to another individual. The expiration date on gift certificates is 6 months from the date of purchase.
SPA RESERVATION & CANCELLATION
If it is your first visit to Flawless Day Spa, be prepared to complete a brief health intake form upon your arrival. There are some medical conditions that may be contraindications for certain therapies.
Flawless strictly adheres to our Spa Cancellation Policy. If you must cancel or reschedule an appointment, as a courtesy to other guests and our therapists, 24-hour notice is required to avoid being charged 100% of the price on all treatments scheduled. This policy includes gift card holders.
During the week of major holidays (Thanksgiving, Christmas, New Years' Eve, and Valentine's Day), or when an individual or group is booking more than two services together, we require a 48-hour notice.
Information Collection, Use, and Sharing. We are the sole owners of the information collected on this site. We only have access to/collect information that you voluntarily give us via email or other direct contact from you. We will not share your information with any third party outside of our organization, other than as necessary to fulfill your request, e.g. to ship an order.
Security. We take precautions to protect your information. When you submit sensitive information via the website, your information is protected both online and offline. We require a credit card on file for any appointment made, regardless of whether a client intends to pay by cash, gift certificate, voucher, or any other method. We comply with Federal regulations through the Payment Card Industry Data Security Standard (PCI DSS). Among other things, this means that your card number is encrypted, and once entered into our system, only the last four digits are visible.
Our customer files are also stored in compliance with the HIPAA Law (Health Insurance Portability and Accountability Act of 1996). Files are only accessible to the therapists who are performing a treatment on you, and the front desk associate who files the charts. Files are kept in a locked cabinet immediately after your appointment.
GROUP AND PARTY SCHEDULING
A spa party is different than when a group of people come in together for our regular services. At our spa parties, your entire group will be fully dressed, seated in chairs, and receive the specific services of your chosen party as a group. Our regular 24 hour cancellation applies. Individuals may pay separately at the end, but the person booking will be responsible for the entire amount in case of no-shows or late cancels.
If you want individual services (such as massages or facials), but want to come in together, that is a group, but not a party. If you need help understanding how to schedule what you are looking for, please call the front desk.
If four or more people want to schedule times together, we must have all of the pertinent information for each guest at time of booking (first & last name, valid email address, telephone number and credit card number with expiration date). We do not accept vouchers for services. The entire party must be booked and paid in order to hold the spots. If the party is canceled within two weeks of the scheduled date, they may receive a refund for two thirds of the paid amount. If they cancel with less than two weeks, they receive no refund. These policies are in place because we are a small spa, and we often bring our employees in on their days off in order to accommodate a group. Late cancellations of a group can greatly impact a whole days' schedule for the spa and employees.
We believe that a gratuity is a gesture of thanks for excellent service and is entirely the prerogative of our guest. If you do wish to offer a gratuity in appreciation of quality service they typically average between 15% – 20% of the non-discounted treatment price. Tips may be given in cash, check, or by credit card at the front desk at check out.
There are no refunds on Gift Certificates, prepaid packages, or services, and you must be 18 years or older to purchase gift certificates. Gift certificates may, however, be transferred to an individual other than the individual they were purchased for.
If you are unhappy with retail products purchased, we stand behind them 100%. Any products returned within 30 days of purchase may be returned to the spa in the same condition for a full refund or exchange.
MASSAGE AND BODY TREATMENTS
We want you to have massage and body treatments customized to your liking. Please share with your therapist prior to your treatment as much as possible about your needs; are you there strictly for relaxation? Have pain in a particular location? Don't like your feet touched? To an extent, you decide what happens during a massage. If you are hot, cold, uncomfortable, let us know. If there is too much or too little pressure, let us know. We want your experience to be the best it can be and unless you tell us that you don't like something we don't know. It is perfectly ok to speak up.
Because we use only the highest quality organic oils in our treatments, we recommend that you leave the oil on your skin for optimal hydration and benefit. We recognize that this is sometimes not practical. If you wish, ask your therapist to remove the oil with a hot towel.
MEDICAL CONDITIONS & ALLERGIES
Please notify a Spa Coordinator when booking your appointments about physical ailments, medical conditions, and allergies. This will allow us to further personalize your treatments and to alert us to contraindications. Special conditions may include pregnancy, high blood pressure, heart conditions, metal implants, or epilepsy.
PREGNANCY & SPA TREATMENTS
Many women find that spa treatments are very helpful in relieving some pain and stress from pregnancy. Our Mommy-to-be Massage was developed especially for pregnancy. However, during pregnancy, treatments using deep pressure and heat, such as Deep Tissue or Myofascial Release should be avoided. Consult your doctor with any other concerns or questions. If you are pregnant, please let us know this when booking your appointment, along with how many weeks along you are, in order for us to adequately prepare for your treatment, and to avoid any procedures that may be contraindicated.
When you are here for a body wrap, we are detoxing the skin and lymph systems, as well as exfoliating and moisturizing the skin. Most people remove all their clothing so that the maximum amount of skin can be treated. If you are more comfortable leaving undergarments on, you may do so, but understand that the undergarments may become soiled from the products and we cannot guarantee they will not be stained. Please take this into consideration when deciding what to wear.
What to do before your wax:
• Allow 3-4 weeks between waxing and/or shaving. A quarter of an inch outgrowth is required for bikini, legs and underarms.
• For Brazilian and bikini waxes, if your hair is long it is best to trim so that the waxing is more comfortable.
• Female clients may have heightened sensitivity during the week prior to or during menstruation.
• Although we do our best to remove wax residue after your wax, you may be slightly sticky, so you may wish to wear an old pair of underwear to your visit.
Be careful before you wax:
• Do not use Retin A/Renova up to 30 days prior.
• Do not use Accutane up to 90 days prior.
• Do not use peels (glycolic, AHA, etc.) or dermabrasion on the waxing area up to 24 hours prior.
• Do not drink alcohol heavily or sunbathe up to 24 hours prior.
